Carry the stamps in progress across, honour both cards for a few weeks and announce it at the till: the switch to Wallet without losing a regular.
Open “My card”, “Rewards” tab. Take exactly what your printed card promises: the same number in “Stamps required” and the same wording in the “Reward” field. If your paper card says ten boxes for a free coffee, the digital card says ten stamps for a free coffee. You can adjust the threshold later, once everyone has moved across: changing the rules and the format at the same time means two new things to explain at the till instead of one.
This is the mistake that costs customers: clearing the paper cards off the counter overnight. A regular sitting on eight stamps out of ten who is told their card is worth nothing does not come back. Pick a date, two months later for example, up to which paper cards are still honoured. Write it on a note taped up by the till: you and your staff will all say the same thing, every day.
At the till, the customer scans the QR on your poster with their phone camera and adds the card to Apple Wallet or Google Wallet. Nothing to install, no account to create. Their card then carries its own QR, inside their wallet: that is the one you scan on every visit, and that is the one the transfer runs on.
Open the Scanner and scan the QR on the customer's card as many times as there are boxes ticked on their paper card. Count three or four seconds between scans: the Scanner turns down the same card scanned twice in a row and says the visit has just been recorded, which is the safeguard that stops a visit being counted twice. Do it at a quiet moment, not with five people in the queue.
Keep the paper card, or cross it out in front of the customer. Otherwise they leave with both and will have you counting their stamps again in three weeks. If their card was nearly full, the transfer takes them to the threshold straight away: the reward is earned that same day, so hand it over without arguing. Nothing is lost on the way, whatever goes past the threshold stays on the card.
On the Plus plan, the “Rewards” tab offers a “Welcome bonus”: every new card starts with the number of stamps you enter. Set to 2 or 3 during the switch, it saves you scanning ten times over for the customers who only had two or three boxes. Two things to remember: it applies to every new customer and not only to your old ones, and it already counts in the balance, so take it off the number of scans. It can never unlock a reward on its own.
One short sentence, the same for you and for whoever is on the till: “We are moving the loyalty card onto your phone, I will put your stamps back on, it takes ten seconds.” Avoid the word “app”: the customer has nothing to install, and it is the word that puts people off most. Have an answer ready for the question that always comes: “What if I change phone?” The card goes back on by scanning the counter QR again.
Say it at every sale, and post it where your customers read you: the window, Instagram, your Google Business Profile. On the “My card” page, the “Copy the link” button gives you your card's exact address. Pasted into a post or into your bio, it lets people install the card from home, without waiting until they are at the counter.
The “Customers” page lists the cards installed, with the stamps in progress and the date of the last visit. After a month most of your regulars are on it; the last ones are those who come in once a month, so keep a few paper cards under the counter for them. On the day, take the paper off the counter and out of the window. A customer who pulls out an old card three weeks later: carry their stamps across and install their card, that is exactly what the switch was for.
Stop ordering printed cards the day you set the end date. As long as a stack is left in the drawer, someone will hand one to a customer, and the switch will drag on for a year instead of two months.
